Job: Customer Service (Export) Italian speaking

Location: Central London

Salary: £28.000-33.000 depending on experience

REPORTS TO: Director of Operations

We are looking for a professional with at least 3 years of experience in a similar role. Preferably with experience into the luxury industry. Able to assist into our client, an international fragrance distribution company, ensuring clients are provided with the best possible service at all time.

In order to be considered for this role, you must have previous work experience in customers’ orders, PO reception, approval, entry, as well as with export documents. You must also speak fluent Italian.


  • Following procedures and guidelines
  • Directing and managing independently, optimising and coordinating our customers’ orders
  • PO reception, PO analysis vs stock
  • Liaising with sales team, customers and operation team to fine-tune PO
  • PO approval; PO entry in CRM system
  • Sales Order creation and stock allocation
  • Instructing warehouse about picking and packing process on a daily basis according to customers requirements
  • Issuing customer invoice accordingly to specific customer needs
  • Tracking and assisting warehouse/freight forwarders with issuing correct export documents (EUR1, COO, FSC, CMR, DGD, etc.)
  • Checking and validating of above listed documents
  • Sharing export documents and certificate with customers to get them approved
  • Handle documents legalisation when needed
  • Archive order’s documents and key communications exchanged with customers
  • Contacting customers to share important documents
  • Coordinate with customer’s freight forwarders and warehouses to arrange order collections
  • Collecting documents and other relevant information from customers, warehouses, forwarder agent, shipping company, customs to each order delivered, and archive them into our CMR system
  • Completing of order processes as soon as order delivered
  • Weekly posting of invoices
  • Transfer of sales information to accountancy
  • Weekly reporting of order portfolio, sales, open orders, updated of receivables; aged debts
  • Handle complaints, provide appropriate solutions and alternatives within the time limits and follow up to ensure resolutions
  • Sorting logistical issues, availability of products, picking and packing issues, shipment issues, product damage issues; keeping track of quality, quantity and stock levels, scheduling deliveries, transport costs and related operations
  • Building professional relationship with forwarding agents of distributors
  • Arrange shipments for product samples
  • Able to speak Italian with warehouses and suppliers


  • Minimum 3 years of experience in similar position / role
  • Proven written and oral communication skills
  • Experienced in import/export of similar products (fragrances, cosmetics, pharmaceuticals) to Europe, Middle East, Asia and USA (North and South)
  • Experienced with issuing CERTIFICATE OF ORIGIN and EUR1 + EUR MED
  • Experienced into B to B business and customer service positions
  • Experienced in stock management, international shipping and customs requirements
  • Attention to detail is a must

  • Any other European language is a plus
