Salary: competitive package, depending on experience.
Location: we are looking for people based around the ASCOT area, where the clinic is based. The job is hybrid, 3/4 days working from home and 1/2 from the office so you must be able to easily commute to Ascot.
Our client is a private clinic based in Ascot, providing a full range of medical services e.g. GP, plastic surgery, gynaecology, sports medicine and much more. Based in Ascot, you will be in charge of taking bookings for different consultants (7-8 in total).
As a Booking Administrator, you must have past experience in a medical setting; this is a must requirement. The clinic is very busy and being highly organised is essential to successfully execute the job.
You will be in charge of the following tasks:
- Act as the primary point of contact for patients, providing information on consultations, costs, etc.
- Respond – quickly and efficiently – to all incoming booking and enquiries.
- Provide appropriate information, with accuracy and professionalism
- Deliver exceptional customer service and ensuring all patients have the best experience from the time of booking until service close off.
- Liaise between patients, rest of the team and Consultants to ensure a seamless experience from consultation to treatment.
- Liaise with clinical team to ensure all required documentation is complete and accurate before treatments.
- Maintain up-to-date and accurate patient records on CRM in compliance with clinic policies and data protection laws.
- Collaborate with the financial and administrative teams to ensure that all patient payment plans and invoices are processed correctly.
- Ensure patient care and safety by monitoring and confirming consent forms, medical history, and follow-up requirements.
- Provide compassionate and professional support to patients, addressing any concerns or questions regarding their medical journey.
- Act as a Receptionist – when and if required e.g. covering sick leave or any other emergency; when acting as a Receptionist, you will be required to work on-site.
Key Requirements:
- Previous experience in medical environment is a must
- Strong understanding of healthcare and CQC regulations.
- Exceptional organizational skills with the ability to manage multiple tasks and priorities.
- Strong communication skills, both written and verbal, with the ability to build rapport with patients and clinical staff.
- High attention to detail, particularly when handling sensitive patient information and medical documentation.
- Ability to work in a fast-paced environment while maintaining a focus on patient care.
- Proficiency in using medical or clinic management software.
- A compassionate and empathetic approach to patient care.
Working hours: Monday to Friday: 9AM to 6PM with 1 hour lunch break.
Days of holidays: 20 + BH
